Grooming Policies & Terms of Service

A dog and a cat share a moment, looking at the camera with curiosity and a hint of mischief in their eyes.

At Happy Pet Spaw, your pet’s comfort, safety, and well-being come first. We work to provide a clean, welcoming environment and a grooming experience tailored to each pet’s needs.

These policies explain what you can expect from us and how you can help us care for your pet. Please review them before your appointment and ask us about anything you do not understand.

1. Appointments, Cancellations & Rescheduling

Every appointment reserves dedicated time for your pet. Please provide at least 24 hours’ notice to cancel or reschedule without a fee.

Cancellations or rescheduling requests made less than 24 hours before the appointment, as well as missed appointments, will incur a cancellation/no-show fee starting at $50 and up to the full scheduled appointment cost per pet.

To cancel or reschedule, please call the location your pet is getting serviced. A voicemail received at least 24 hours before your appointment counts as timely notice. Please do not rely on social-media messages for appointment changes.

Appointment reminders are a courtesy. Not receiving a reminder does not cancel your appointment or change the notice requirement.

Thank you for respecting our team’s time and helping us make appointments available to other pets.

2. Arrival & Safe Drop-Off

Please arrive on time and allow a few minutes to discuss your pet’s health, behavior, coat condition, and requested services.

Dogs must arrive and leave on a secure leash. Cats must arrive and leave in a secure carrier. Keep your pet close to you and avoid contact with unfamiliar animals.

If you are running late, please call. Depending on the remaining appointment time, we may need to adjust the service or reschedule. Any applicable charge will be explained under the policy provided at booking.

For everyone’s safety, customers should remain in designated client areas unless invited by a staff member.

3. Grooming Estimates, Pricing & Payment

Service prices depend on your pet’s size, coat type, coat condition, requested style, behavior, and the time required to groom safely.

An estimate is not necessarily the final price. We will explain the expected services and charges at check-in. If additional work becomes necessary, we will seek your approval before adding services or charges beyond the agreed amount.

If we cannot reach you, we may limit or pause the service rather than perform unapproved additional work. Emergency veterinary care is handled separately under your signed authorization.

Payment is due when your pet is picked up. Any required deposit, cancellation terms, or authorization to charge a saved payment method will be explained separately before you agree.

Promotions cannot be combined unless the offer expressly allows it.

4. Grooming Time & Pickup

Most appointments take approximately one to four hours, although timing varies with your pet’s needs. Additional breaks or a modified grooming plan may be necessary.

We will contact you when your pet is ready. Please wait for that notification before arriving for pickup, as seeing you during grooming can make some pets excited or difficult to handle safely. You are welcome to call with questions.

Please arrange pickup within 30 minutes of notification. If you need additional time, let us know before the appointment so we can discuss available arrangements.

Any extended-care or after-hours pickup fee must be disclosed and agreed to in advance. Grooming appointments do not automatically include boarding or overnight care.

5. Health Information & Vaccination Records

Please provide accurate, current information about your pet’s health and notify us of changes before each appointment.

Disclose known medical conditions, injuries, recent procedures, medications, allergies, skin concerns, and any restrictions recommended by your veterinarian.

We require documentation of current rabies vaccination when applicable to your pet’s age and local requirements. A rabies titer result alone is not accepted as a substitute for required rabies vaccination.

If your pet has a medical exemption, contact us before booking. We may request veterinary documentation and approval from the appropriate local authority where required. An exemption does not automatically mean grooming is appropriate or that we can safely accept the appointment.

Other vaccination requirements will be explained before booking. Puppies and kittens must meet our age-appropriate admission requirements, developed with veterinary guidance.

6. Illness & Contagious Conditions

Please contact us before bringing a pet with signs of illness, including persistent coughing, vomiting, diarrhea, unusual lethargy, or a suspected contagious skin condition.

If your pet may be contagious or is not well enough to groom safely, we may postpone the appointment and recommend veterinary evaluation.

Please tell us about recent exposure to contagious illness so we can discuss whether rescheduling is necessary.

7. Behavior, Handling & Safety

Please disclose any history of biting, scratching, snapping, escaping, severe anxiety, panic, or sensitivity to specific grooming tasks.

We use reasonable, humane handling methods and may use appropriate safety equipment when necessary. Equipment and handling techniques are selected according to your pet’s size, health, behavior, and tolerance.

We may modify, pause, decline, or stop a service when continuing could place your pet, another animal, or a person at risk.

A complete groom or a particular hairstyle cannot be guaranteed when safety concerns arise. If a service is stopped, charges will reflect work actually performed and any other charges expressly agreed to in advance.

We may recommend a different grooming approach or veterinary-supervised care when appropriate.

8. Matting & Coat Condition

Your pet’s comfort takes priority over preserving coat length.

Severely tangled or matted coats may require clipping or shaving shorter than requested. We will discuss the approach with you and obtain the appropriate consent before proceeding.

Matting can conceal skin problems and make grooming more difficult. Removing it may reveal irritation, wounds, parasites, or other concerns that were not visible at check-in.

We will use reasonable care, but mat removal can still involve discomfort, skin sensitivity, or minor injury. We may stop and recommend veterinary care if continuing appears unsafe.

Any additional mat-removal charges will be explained and approved before that extra work begins. We will also discuss appropriate coat maintenance and aftercare.

9. Senior Pets & Pets With Medical Conditions

Senior pets and pets with medical conditions may need shorter appointments, additional breaks, gentler handling, or a simplified grooming plan.

Please tell us about mobility problems, seizures, heart or breathing conditions, pain, and any other health concerns.

We may request veterinary guidance before proceeding. If your pet becomes excessively stressed, weak, painful, or unwell, we may stop the service.

For these pets, a comfortable, partially completed groom may be safer than a fully finished haircut.

10. Cat Grooming

Cats may react strongly to unfamiliar surroundings, noise, or handling. Please disclose your cat’s medical history, medications, and any previous difficulty with grooming.

We may modify or stop the service if your cat becomes excessively stressed or cannot be handled safely.

Happy Pet Spaw does not prescribe or administer sedatives. If your veterinarian has prescribed medication for the appointment, follow the veterinarian’s instructions and tell us what was given and when.

11. Fleas & Ticks

If fleas or ticks are found, we will contact you to discuss appropriate options. Depending on the situation, we may pause or stop grooming to protect your pet and other animals.

Any proposed flea or tick shampoo service and its charge require your approval. Product suitability depends on the pet’s species, age, health, and other treatments already used.

A grooming treatment does not replace a veterinarian-recommended parasite-prevention program or treatment of the home environment.

12. Allergies & Product Sensitivities

Please disclose known allergies and previous reactions to shampoos, fragrances, grooming products, or handling.

We will discuss suitable options when possible. If your veterinarian recommends a particular product or restriction, let us know before the appointment.

Reactions can occur even when a product has been used before. If we notice a suspected reaction, we will stop the relevant service and contact you. Urgent situations will be handled under your emergency-care authorization.

13. Emergency Veterinary Care

If your pet appears to need urgent veterinary attention, we will attempt to contact you and your emergency contact.

If you cannot be reached, we may arrange transportation and veterinary evaluation or stabilization in accordance with your signed emergency-care authorization, including any stated spending limit.

Please keep your contact details current and remain reachable during the appointment.

Veterinary and transportation expenses will be handled under your signed authorization. Agreeing to emergency care does not, by itself, determine who is legally responsible for an injury or its costs.

14. Photos & Social Media

We love showing off our furry clients and their fresh new looks! Happy Pet Spaw may photograph or record videos of your pet during their visit and share them on our social-media pages to showcase our grooming work and special moments at the salon.

15. Grooming Results & Service Concerns

Please discuss your preferred style at check-in. Reference photographs are welcome, but the result depends on your pet’s coat, condition, anatomy, and ability to tolerate the service.

If you have a concern about the finished groom, contact us promptly so we can review it and discuss an appropriate response. Depending on the circumstances, that may include an adjustment, another appointment, or a refund.

If you believe your pet is injured or unwell, seek veterinary care promptly and notify us as soon as reasonably possible. Do not delay necessary care while waiting for our response.

Nothing in this policy limits rights or remedies available under applicable law.

16. Consent, Release Forms & Policy Updates

Before service, we will ask you to review and acknowledge these policies and complete any applicable consent forms. Additional forms may be needed for senior pets, cats, severe matting, or other special circumstances.

Our consent forms explain relevant risks and permissions. They do not excuse a failure to use reasonable care or waive rights that cannot legally be waived.

Material changes to these policies will be communicated before they apply to a future appointment. Updated terms will not be used to impose new charges retroactively.

Thank you for trusting Happy Pet Spaw with your pet’s care. Clear communication helps us provide a safer, more comfortable experience for your pet and a better experience for you.
